As you all probably know, the Swiss franc is very healthy now compared to most of the other currencies. This is unfortunate but since the meeting location was chosen last year, we will all have to do with this fact. Wengen is also a very nice destination in an otherwise generally expensive country. It will also not help...

Another characteristic of Switzerland is that hotel rooms rates are considered on a per person basis (or nearly so), not per room. Therefore, sharing a room does not save much financially.

The REGINA hotel has been chosen as the meeting place since it is the only hotel in Wengen to have a conference room large enough for our group. It is also the highest class hotel in Wengen and has a very good restaurant.

Special rates and a block of about 45 rooms have been secured with the Regina hotel for our meeting (from Sunday 10th evening to Saturday 16th morning). Outside of these limits, the hotel is free to apply or not the special meeting rates.

Here are the details.

Booking and cancellations:

Booking should be done directly with the Hotel and is possible until June 8, 2012. The booking and payment can be made on a per person or group basis, mentioning "Meeting IRWG / TCCON". The duration of the reservations are held individually.

A final individual confirmation may be canceled up to 7 days before arrival without costs. Be aware that for cancellations notified less than 7 days before arrival, there will be no refund!

Rates :

Single room with shower / WC, radio, television, telephone and a view of the mountains of the Jungfrau at the special price of CHF 85.00 per night per room (only a few rooms are available),

Double room for single use with bath / WC or shower / WC, radio, television, telephone and a view of the mountains of the Jungfrau at the special price of CHF 130.00 per night per room.

The price for a double room for two people is CHF 170.00 per night per room.

There are also a few double rooms without TV and exposed to the north side (no view) that would be available for single use at the special price of CHF 120.00 per night per room.

If you have special problems like young students, you may discuss this with the hotel direction and find a specific solution but this would fall outside of the general agreement we negotiated with the hotel.

Breakfast, service and local taxes and VAT are included in these prices. The Sauna and Hammam is free from 17:00 hours to 19:00 hours every day.

The following meal plans are offered for our meeting:

Business Lunch 3 courses (starter, main course and dessert) at CHF 32.00
4-course dinner with choice (including vegetarian option) Special CHF 45.00
A quick lunch is also possible (e.g. the daily special at CHF 22.00 per person or a choice of menu from the Brasserie).
Picnic basket for your visit to the Jungfrau (without drink) CHF 25.00
Picnic basket for your visit to the Jungfrau (with drink) CHF 35.00

The price of the coffee breaks is CHF 15.00 per person per break (coffee, tea, croissants, small pastries, orange juice and water). Drinks will be available at any time during the conference.

Notes:

A final reservation must be made the night before for lunch and dinner. For the 4 conference days, the business lunch and 4-course dinner are considered as the default and you should only contact the hotel if you do not follow this schedule. Please, order also your Jungfraujoch visit picnic no later than Wednesday evening.

At checkout, the hotel will charge you for the room, meals, beverages, coffee breaks, picnic and personal extras. The Wi-Fi and conference room are hotel global costs that will be covered by the conference fee (see Meeting Registration)
